Buyer's guide · Every provider priced in INR
Business email in India spans a 37-fold price range, from about ₹29 a mailbox a month to ₹1,080, and most businesses pay far more than their actual requirement because they buy a productivity suite when they wanted an email address. The decision is genuinely simple once framed correctly: if you need email on your own domain and nothing else, you should be paying ₹29 to ₹90 a mailbox. If you need email plus real Office or Google apps and file storage, ₹170 to ₹270. If you need the full collaboration suite with large storage and advanced admin, ₹860 to ₹1,080. All figures below are per mailbox per month excluding 18% GST, which registered businesses can normally reclaim as input tax credit.
Cheapest professional email in India — ₹29 to ₹69 per mailbox
Titan is the answer almost nobody gives when someone asks for business email, and for a large share of Indian small businesses it is the correct one. From roughly ₹29 a mailbox a month at the low end and about ₹69 for the standard business plan, it delivers exactly what most people actually want: professional email on your own domain, a decent web and mobile client, and nothing else to pay for. Business plans carry around 10 GB per mailbox and enterprise tiers about 50 GB. One structural point to understand: Titan does not sell directly, it is distributed through partners such as BigRock and ResellerClub, so pricing varies somewhat by reseller and it is worth comparing two before buying.
Pros
Cons
Best for: Small businesses, professional practices, agencies and anyone whose real requirement is "an email address at my own domain" rather than a productivity suite.
Free for five users, then ₹90 — and an Indian company
Zoho Mail occupies the space between bare email hosting and a full suite, and its free tier is the most generous credible offer in the Indian market: up to five users with 5 GB each on your own domain, at no cost, which genuinely covers a young business for its first year or two. Paid plans start at ₹90 for Mail Lite and ₹360 for Mail Premium, with Workplace Standard at ₹270 adding documents, spreadsheets and Cliq chat. Zoho is an Indian company headquartered in Chennai, which matters for buyers who want data residency options and support in Indian business hours rather than overnight ticket queues.
Pros
Cons
Best for: Startups and small businesses wanting to start free, cost-conscious teams, and anyone who prefers an Indian vendor with local support.
Best value once you need more than email — ₹170 per user
At ₹170 per user per month, Business Basic is the strongest value on this page for any business that needs more than a mailbox. You get a 50 GB Exchange mailbox on your domain, 1 TB of OneDrive storage, Teams, and web versions of Word, Excel and Outlook. Compare that against Google Workspace Starter at ₹270 with 30 GB of storage and the gap is substantial. The catch, and it is a real one, is that Business Basic gives web and mobile Office apps only — if your team needs desktop Excel, you are looking at Business Standard at ₹860.
Pros
Cons
Best for: Businesses of 5-300 people who need email plus file storage and collaboration, and are comfortable with web Office. The default recommendation at this size.
Best collaboration experience — Starter ₹270, Standard ₹1,080
Google Workspace remains the smoothest collaborative editing experience available, and for teams that genuinely work simultaneously in documents it is worth paying for. Starter is ₹270 per user per month with 30 GB of pooled storage, Standard ₹1,080 with 2 TB. The storage figure on Starter is the thing to check carefully before committing: 30 GB covers Gmail, Drive and Photos combined, which fills faster than people expect, and the jump to Standard is a fourfold price increase rather than a small step. Where Workspace wins decisively is Meet, Docs and Sheets in daily collaborative use, and admin simplicity compared with Microsoft.
Pros
Cons
Best for: Teams that collaborate in documents daily, organisations without IT staff who need simple administration, and anyone already standardised on Google.
When you need desktop Office or advanced security — ₹860 and ₹1,830
Business Standard at ₹860 adds the desktop Office applications to everything in Basic, which matters more than people admit: web Excel is fine for viewing and light editing, and genuinely limiting for anyone doing serious financial modelling, macros or large datasets. Business Premium at ₹1,830 adds Intune device management, Entra ID Plan 1, Defender for Business and advanced threat protection — the security and device-control layer that turns a productivity suite into something you can defend and audit. For a business handling regulated or sensitive data, Premium frequently replaces several separate security purchases.
Pros
Cons
Best for: Finance and accounting teams needing real desktop Excel, and any business wanting device management and endpoint security bundled rather than bought separately.
Where domestic residency or a bundled hosting plan matters
Two other routes are worth knowing about. Rediffmail Enterprise is a long-established Indian business email provider, relevant primarily for organisations that want an Indian vendor and Indian hosting for policy or procurement reasons rather than on features. Separately, most Indian web-hosting plans from providers such as BigRock, Hostinger and ResellerClub include mailboxes with the hosting, which is why so many small businesses end up on cPanel-based email without deciding to. That bundled email is usable and free at the margin, but it is generally weaker on spam filtering, mobile sync and deliverability than any dedicated provider above — and deliverability is the one you notice, because it is invisible until your invoices start landing in customers' spam folders.
Pros
Cons
Best for: Organisations with a specific Indian-vendor requirement. For everyone else, hosting-bundled email is a false economy — Titan at ₹29 solves it properly.
It depends on what you actually need beyond email. For email alone on your own domain, Titan at ₹29-69 a mailbox or Zoho Mail Lite at ₹90 — anything more is money spent on features you will not open. For email plus storage and collaboration, Microsoft 365 Business Basic at ₹170 is the best value on the market, giving a 50 GB mailbox and 1 TB of OneDrive. For daily collaborative document work, Google Workspace at ₹270. Decide which of those three descriptions fits you before comparing features.
Zoho Mail is free for up to five users with a custom domain, which is the cheapest credible option in the market and genuinely sufficient for a young business. Beyond five users, Titan from around ₹29 a mailbox a month is the lowest paid option, followed by Zoho Mail Lite at ₹90. Web-hosting-bundled mailboxes appear cheaper still but cost you in deliverability, which is the one thing you cannot afford to get wrong with business email.
Microsoft 365 Business Basic at ₹170 gives a 50 GB mailbox and 1 TB of OneDrive; Google Workspace Starter at ₹270 gives 30 GB pooled across Gmail, Drive and Photos. On storage per rupee Microsoft wins clearly. Google wins on collaborative document editing and on admin simplicity, which genuinely matters for a business without IT staff. If you are cost-driven, Microsoft. If your team edits documents together all day, Google.
Zoho Mail's free tier for up to five users on your own domain is legitimate business email and perfectly respectable. Using a free @gmail.com or @yahoo.com address for business is a different thing and costs you real money in credibility — Indian B2B buyers do notice, and it undermines quotes and invoices. If budget is the constraint, Zoho free or Titan at ₹29 solves it. There is no good reason to run a business on a consumer address in 2026.
Less than the marketing suggests for most people. A typical office user accumulates roughly 1-3 GB of mail a year, so 10 GB covers several years comfortably. Where it breaks down is heavy attachment traffic — design, legal, architecture and accounts teams exchanging large files can consume 10 GB in a year. Watch Google Workspace Starter specifically: its 30 GB is pooled across Gmail, Drive and Photos rather than dedicated to mail, so it fills much faster than the number implies.
Easier than most businesses fear, and it is the main reason people stay on the wrong plan for years. All the major providers offer migration tools that pull mail, contacts and calendars from your existing service, typically over a few hours to a couple of days depending on volume. The genuinely delicate part is the MX record cutover, which decides where new mail is delivered — do it outside business hours, keep the old mailbox accessible for a month afterwards, and verify a test message flows correctly before announcing the change.
Google and Microsoft both include competent spam and phishing filtering, and for many Indian SMEs that is enough. A dedicated email security gateway becomes worth it when you are being actively targeted — business email compromise attempts against your finance team, invoice fraud, or convincing impersonation of directors. Those attacks are specifically designed to pass generic filters, and dedicated gateways from around ₹1,400 per mailbox per year are the layer that catches them.
Zoho is an Indian company with Indian data-centre options and is the simplest answer if residency matters. Google Workspace and Microsoft 365 both offer data-region controls that can pin primary data storage to India, though availability varies by plan tier and it must be configured deliberately rather than assumed. Be precise about scope if you are committing to it contractually — primary data at rest is usually covered, while backups, caches and support access may not be. Get the specifics in writing before passing the commitment on to your own customers.
