How to Set Up Zoom Rooms — Licensing, Hardware and Calendar
A Zoom Room is three things bought separately and joined together: a per-room licence, a certified hardware kit, and a controller. Setting one up is not difficult, but the order matters and the calendar integration is where most first attempts stall. This walks through a room from licence to a working one-touch join, including the settings worth fixing before people start using it.

Buy the Zoom Rooms licence per room: Zoom Rooms is licensed per room per year, separately from your user licences and separately from the hardware. Buy one licence per physical room you are equipping. This is the line item most often missing from a first quote, and it is annual rather than one-time.
Create the room in the Zoom admin portal: Under Room Management, create a room and place it in a location hierarchy — building, floor, room. Setting up the hierarchy now rather than later saves real pain once you have more than a handful of rooms, because policies and reporting follow that structure.
Create a calendar resource for the room: In Google Workspace or Microsoft 365, create a room resource so people can invite the room to a meeting like any other attendee. This is what makes one-touch join work — the room sees the calendar invite and offers a Join button. Skipping this leaves you with a Zoom Room that works but where everyone types meeting IDs by hand.
Connect the calendar service to Zoom: In the Zoom admin portal, add your calendar service and authorise it, then assign the calendar resource you created to the room. Test by scheduling a meeting and inviting the room — the join button should appear on the controller at the right time. If it does not, the mismatch is almost always the resource assignment.
Pair the hardware: Power up the bar and controller. In appliance-mode kits the bar runs Zoom Rooms itself and displays a pairing code; enter it in the admin portal or on the controller to bind the hardware to the room you created. Kits needing a separate compute device follow the same logic with an extra box to configure.
Set room defaults centrally: Configure at the account or location level rather than per room: auto-start on join, microphone and camera defaults, whether the room can start meetings without a host, and whether wireless sharing needs a code. Setting these per room means they drift apart as you add rooms.
Add a scheduling display outside the room: Optional, but it solves the most common office complaint — people walking into an occupied room. A tablet running the Zoom Rooms scheduling display shows availability and allows ad-hoc booking. It needs its own licence consideration, so factor it in if you want it.
Test properly before handing it over: Join a real meeting from another room or a laptop. Check audio in both directions from the far end of the table, not from beside the bar. Test wireless sharing from both Windows and Mac. Rooms handed over without an end-to-end test are how a team discovers on Monday that the microphone does not reach the back of the table.
