Zoho One bundles the whole Zoho catalogue for one per-user price. Buying apps individually means paying per app, per user. The question every Indian business asks is which is cheaper, and the answer is a straightforward piece of arithmetic that almost nobody actually does before signing. The break-even is usually around three to four paid apps per user — below that, individual licences win; above it, Zoho One wins and keeps winning as you add apps. The catch is the all-employee rule, and that is where the decision really gets made.
Zoho One must cover everyone, not just the users who need it
Zoho One's lower price tier requires a licence for every employee in the business, not just the ones who will use it. The flexible tier lets you license only some users, at roughly double the per-user price. This single rule decides most cases: a 50-person company where only 12 people need CRM will usually do better on individual app licences, while a 20-person company where nearly everyone touches something Zoho does better on One.
Best for: Work this out before comparing any other number
Three to four paid apps per user is the usual break-even
The comparison is per user, not per company. If your salespeople use CRM and Campaigns while finance uses Books and nobody else uses anything, that is two apps for one group and one for another — not three apps justifying a bundle. Map apps to headcount groups and price each group separately before you compare against One.
Best for: Companies with clearly separated departmental tool use

Across Indian SMBs these three do the heavy lifting: CRM for sales, Books for GST-compliant accounting and invoicing, People for HR and leave. If all three are in play for a meaningful share of your staff, Zoho One is usually cheaper than licensing them individually — and every additional app after that is effectively free.
Best for: Businesses already running two of these three
Desk, Projects, WorkDrive, Sign, Analytics
Zoho One's real advantage shows up six months later. Support wants a ticketing system (Desk), delivery wants project tracking (Projects), everyone wants shared storage (WorkDrive), legal wants e-signature (Sign), and someone wants dashboards (Analytics). On individual licensing each of those is a new purchase order. On One they are switched on. Factor in what you are likely to want, not only what you need today.
Best for: Growing businesses that expect their tool needs to expand
One app, one department, no expansion plans
If you are a 60-person manufacturer where only the 8-person sales team needs CRM and nothing else is on the cards, buying 8 CRM licences is obviously right and Zoho One would mean paying for 60 people. Do not let the bundle logic override a simple situation. The bundle is a hedge against future breadth, and if you do not need that hedge you should not buy it.
Best for: Single-department deployments with stable requirements
The part that is identical whichever you choose
Whichever route you pick, buy through an India partner rather than a card payment on the website. You get INR pricing, a GST invoice against your GSTIN so the tax is claimable, a purchase order trail, and a renewal you control. On a 40-seat Zoho One deployment the GST input credit alone is a material annual number.
Best for: Every Indian business, either way
As a rule of thumb, three to four paid apps per user. Below that, individual licences are usually cheaper. Above it, Zoho One wins and the margin grows with every app you add. But run it against your actual headcount groups — the rule of thumb hides the all-employee requirement, which often matters more.
On the lower-priced all-employee tier, yes — every employee in the organisation needs a licence. The flexible tier lets you license a subset at roughly double the per-user rate. For businesses where only one department uses Zoho, the flexible tier often still loses to individual app licences.
Yes, and your data carries across — it is the same underlying account. Timing matters for cost though: mid-term switches involve pro-rating existing licences. The cleanest point to switch is at renewal, and it is worth planning the move a month ahead rather than at the last minute.
It is not really the same comparison. Microsoft 365 and Google Workspace are productivity and email suites; Zoho One is those plus CRM, accounting, HR, support and around forty other business applications. If you only need email and documents, Zoho One is more than you need. If you are buying a CRM and an accounting package separately, it starts looking very different.
Breadth is not depth. Each Zoho app is competent rather than best-in-class, and if one particular function is core to your business — heavy field sales, complex manufacturing — you may still want a specialist tool alongside. The bundle is excellent value for the long tail of business software; it is not automatically the right answer for your most important system.
